Accounting early-interest enquiries

To respond to an enquiry, we process your Czech company ID, contact email, mobile number, organization name and type, and acknowledgement of the cooperation condition; optionally your name, role, unit count, document volume, current cost and message. We also save the submission time, enquiry reference and privacy-notice version. Required details let us reply and assess the scope. Without them the form cannot be submitted; you can contact us by email instead.

The purpose is to assess your interest and follow up. For individuals acting on their own behalf, the basis is taking pre-contractual steps at their request (GDPR Article 6(1)(b)). For organization contacts, our legitimate interest is responding to requested business enquiries (Article 6(1)(f)). The form does not subscribe you to a newsletter. We do not make automated decisions about accepting clients.

Storage and retention

Enquiries are stored in Cloudflare D1 in our account and may also be forwarded to our info@urgentsolution.cz mailbox at Seznam Email Profi and are accessible only to authorized company administrators. We retain them while handling the enquiry, for no more than six months after receipt. If a business relationship begins, necessary details are then processed for that relationship and applicable legal obligations. You can request earlier deletion at privacy@urgentsolution.cz.

Cloudflare, Inc. provides hosting and database services; Seznam.cz provides our mailboxes. Resend (Plus Five Five, Inc.) also processes enquiry details to deliver notifications to our company mailbox. Cloudflare and Resend use infrastructure and processors outside the EEA, including the USA. The Cloudflare Data Processing Addendum and Resend Data Processing Addendum describe transfer terms and safeguards, including standard contractual clauses. We do not claim that all processing takes place exclusively in the Czech Republic.

ARES and the entity profile

Entering a Czech company ID retrieves the public identity from the Ministry of Finance ARES registry. We store a public snapshot with its source and retrieval time; its document link expires after 24 hours. Old snapshots are removed on a subsequent profile lookup. The document excludes your private email, mobile and message. It is not an official extract or an automated client-admission decision. Entering a company ID does not generate or conclude a contract.

Form security

To limit automated abuse, we use a time-limited derived IP identifier and submission and ARES-lookup counts. The original IP is not stored in our enquiry database. Security entries expire after two hours and are removed when a subsequent form submission is processed. The legal basis is our legitimate interest in operating a secure website.

Your rights

Subject to the GDPR, you may request access, rectification, erasure, restriction and portability. You may object to processing based on legitimate interests. Contact privacy@urgentsolution.cz to exercise these rights. You may also lodge a complaint with the Czech Office for Personal Data Protection or your competent supervisory authority.
